Event Lead/Auction Co-Chair Signed Up: 1 / 1

Event management experience suggested. Event lead oversees the following: Securing venue, vendors, vendor management (including contracts and payments), alcohol permits, floor plans, timeline, budget management, event flow, load in, on site event and vendor management, load out, clean up. Post Event: recap, finalize budget, collect and distribute event photos, vendor payments, prepare folder for following year.

Assists Event Lead in all aspects listed below, including on site execution. Event management experience suggested. Bar Coordinators Signed Up: 1 / 1

Responsible for working with the Auction Chair/s and Procurement lead to solicit alcohol donations. Coordinator will obtain alcohol license prior to event. Coordinator is also responsible for creating a themed drink for Cocktail Hour, working with event lead/caterer for bar staff and execution, taking inventory prior to and at the end of the event

Procurement Lead/Auction Co-Chair/ Signed Up: 0 / 1

Responsible for working alongside the Event Co-Chair to plan and oversee the annual bancroft auction. The Procurement Co-Chair manages the procurement of all donations sold during the online, silent, and live in-person auction. She/He leads all communications related to the auction, supports the Procurement team with online, silent, and live auction needs, works directly with item winners to rectify charges, and shares fundraising information with PFC. Produces final fundraising earning reports.

Procurement Team Signed Up: 3 / 3

Responsible for contacting local businesses and submitting online donation forms to procure items for online, silent, and live auctions. Responsible for supporting Donation Lead and Procurement Chair with putting together bid sheet clipboards, donation signage, and attendee program packets for live auction.

Online Auction Coordinator Signed Up: 0 / 2

Responsible for contacting local businesses and submitting online donation forms to procure items for online, silent, and live auctions. This person will manage pick up and storage of items. Will oversee that donations into the auction software with a picture and description; identifying each item by auction type (online vs. silent vs. live); managing the online auction and distributing winnings; and printing necessary items for live auction event.

Dessert Coordinators Signed Up: 1 / 1

Responsible for procuring dessert donations from Bancroft parents and/or local businesses, coordinating their deliveries to the venue, on-site display, and identifying and working with 1-2 additional “dessert runner” to showcase each dessert during the live dessert auction.

Buy In Party Lead Signed Up: 1 / 1

Coordinates events and outings hosted by community and bancroft families. Catalogs events, sets dates, sets prices. Follows up with hosts post auction to execute events.

Teacher Liason/Class Party Coordinator Signed Up: 0 / 1

Works with a Bancroft faculty member to relay auction information to Bancroft staff, coordinate grade level class parties, coordinates teacher/faculty tickets and communication.

Grade Level Baskets Signed Up: 1 / 1

Collects items from families in each grade level to put together a basket of value to be sold at online and/or live auction. Baskets generally have a theme per grade level.

Creative/Decor Lead Signed Up: 1 / 1

Leads in event design including theme development, mood board, making and securing decor items, load in, execution, load out/clean up. Works closely with Event Lead.

Graphics (canva) Signed Up: 1 / 1

Will update signage and event program from a template. Change out theme and specifics. Template is done in Canva. Will place orders for programs, signage, banners. Will assist with signage set up day of event. Will work closely with Event Lead.

Communications Lead Signed Up: 1 / 1

Work with chairs on overall communication strategy and promotion of event from ticketing, to online auction, to volunteer needs leading up to event date. Includes creating signs, flyers, emails. Communication platforms include konstella, parent square, email, social media and physical flyers.

Tech Lead Signed Up: 1 / 1

Responsible for overseeing/managing auction website. Managing technical side of online ticket set up and sales. Work with procurement team to make sure donations are input into the auction software with a picture and description; identifying each item by auction type (online vs. silent vs. live).

Day Of Event Volunteers Signed Up: 3 / 20

This will include set up, break down, auction item check out, etc. Please be available on 3/22/25 and we will find the best role for you. Procurement Set Up Volunteer (2ppl): Assisting procurement team in setting up the silent auction space including setting out donation signage, bid sheet clipboards, and registration table. Event Set Up Volunteer (2 ppl): Assisting Event lead in setting up live event Registration Volunteer (3ppl): Responsible for welcoming guests to the event, checking them in/ensuring their info is on file, and giving them their auction program packets. Live Auction Spotter (3ppl): Responsible for looking out for, and writing down, bid numbers during the live auction portion of the in-person event. This includes live auction, dessert auction, fund-a-need, class outings, and buy-in items. (Can do this from their seats) Bead and Drink ticket Sales (2-3 ppl): Works during event to sell beads, raffle tickets, drink tickets or other on site fundraiser items. Can be teens. Dessert Runner (2 ppl): Brings desserts out during live dessert auction. Presents them to the floor, takes cues from auctioneer, delivers desserts, forks, napkin sets to winner Procurement Break Down Volunteer (2ppl): Responsible for breaking down the silent auction space including packing up donation signage, bid sheet clipboards, and registration items. Event Break Down Volunteer (2 ppl): Assists in event break down.
