This position is ideal for anyone with event planning or project management experience, or someone with a willingness to help make this event fun for all our families and to raise money that goes directly to BESCA-funded programs. Blacktop Set up/Breakdown Lead Signed Up: 1 / 1The lead and team of volunteers will be positioning booths, tents, electrical connections, tables and chairs for the event. The Friday afternoon/evening and Saturday early morning before the event: set up booths, tents, tables, and chairs following a provided site map. The lead stays on-site during the entire event (Saturday) to help with any changes or issues. After the event, oversee and participate in the break down and return of all set-up items back in the shed in an organized fashion.

Classroom Banners Lead Signed Up: 1 / 1The lead works together with with the Art@Booksin Lead, and the VP of Volunteers. The lead will ensure that all supplies needed to create room banners are available to room parent volunteers, such as poster board, construction paper, theme related images/templates, etc. Offer guidance and training to room parents to assemble and laminate the banner so that they are a consistent size and tied to the WAT theme. This lead also supports the team that hangs up the banners early morning the day of the event. They coordinate with the Art@Booksin team to ensure that time and space are available in the ART Room for banner assembly, and not conflicting with student Art Classes. We ask room parents to have banners completed two weeks prior to Walkathon Event Date. This gives the Poster team time to ensure posters have grommets, and all classrooms are accounted for in time for the event.

Field Decorations Lead Signed Up: 1 / 1The lead and team of volunteers will create Walkathon-themed decorations around the course and on the blacktop. This position begins in late July early August with planning once told what the walkathon theme is. Recruit volunteers with some creative and artistic aspirations to help create the field decor such as, tunnel, backstop art, field art, etc. Purchase and find all supplies needed to construct, hang, and secure decorations. All expenses are reimbursed. Put up field decorations the Friday before the event and early morning day of event (Saturday). After the event (Saturday afternoon), oversee volunteers to take down all decor and return the field to its normal state after the Walkathon is completed.

Field Set Up Lead Signed Up: 1 / 1Lead is in charge of the walking course / field. Organize the field set up day before the event and break down after the event. You will solicit a committee and do any training prior to the event. Some set up responsibilities are, but not limited to, map out walk track, set up fencing, tables, chairs, speakers, music, mark off various spots on field (i.e. family pop up tent area, designated water areas, etc), and more. After the event you and your committee will break everything down and organize it in the BESCA shed.

Fun with Friends Lead Signed Up: 2 / 2The Fun With Friends (FWF) Lead is part of the Silent Auction team and reports to the VP of Fundraising. This role coordinates all the donations for FWF and works with the auction team to input into Silent Auction Pro so that attendees of the WAT can purchase tickets for their preferred event(s). The FWF lead will follow up with the asker committee, solicit events and donations, and follow up with donors to solicit all necessary information for their event.

Kick-Off Assembly Lead Signed Up: 1 / 1This person will work with the principal, student council advisors, student council members, and teachers to get the students excited and informed about the Walkathon. Marketplace Clothing & Merchandise Lead Signed Up: 1 / 1This position is in charge of ordering, organizing, pricing, and selling Booksin clothing and merchandise. Booksin merchandise is stored in the BESCA shed. Prior to the WAT event, you will need a thorough inventory of the items, so that they can be set up in the point-of-sale (POS) system. At the WAT event, you will train, schedule and organize volunteers to work the day of the event. You will help with set up, clean up and storage of any left over items. This lead will be on-site throughout the event to check in throughout the day and address any issues. Time commitment varies. Prior to WAT, inventory management will be at the discretion of this lead. If new or replenishment of items is needed, then 3 months before the event, you will need to order merchandise through the vendor. The day of the WAT expect to be there from dawn to dusk.

Incentive Prizes Purchasing Lead Signed Up: 1 / 1The lead is responsible for determining the mileage incentive prizes students earn for walking during the walkathon. Students earn non-food prizes for the # of miles walked, typically these are related to the theme of the event. All expenses are reimbursed. Registration Lead Signed Up: 1 / 1Prior to the event, the lead will purchase lanyards for all lap cards, obtain lap card boxes for each class, and sort all provided lap cards by class/teacher. All expenses are reimbursed. On the day of the event, the lead arrives at 7 am to help set up the registration booth, put up signage, explain to teachers and parent volunteers their job. Once all walkers are registered and checked in the booth will be broken down. Lead will collect all boxes, unclaimed lap cards, etc. and put in the BESCA shed. The Lead is on-site throughout the event to assist volunteers, ensure shifts are covered, replenish any supplies, and close up booth.

Sponsorship Banners and T-shirt Logo Design Lead Signed Up: 1 / 1Work with the Sponsorship Lead to gather logos of specific sponsors. 8-12 hours of work to collect, design and coordinate printing and installation of the banners on designated days. You will have volunteers to help. Work starts 6 weeks before the Walkathon date. Create press-ready files for sponsorship banners, coordinate printing and delivery. Create a press-ready file in one-color with a composite of specific sponsors' logos, which will be used as the imprint on the back of the walkathon shirt. Help resize logos as needed for web use. You will also lead the set up and clean up of the banners before and after the event. Graphic design experience is a plus.

Teacher Fun Drawing Lead Signed Up: 2 / 2The Teacher Fun Drawing (TFD) Lead coordinates with teachers, principal, and assistant principal to secure their donated experience to the drawing. T-Shirt Distribution Lead Signed Up: 1 / 1This position usually starts in the spring of the prior school year to work with the incoming WAT lead and design team to pick a shirt color and theme. Lead works with the vendor to order the first round of t-shirts for school staff, BESCA board members/leads and WAT leads. The first round of t-shirts is delivered prior to the start of the school year so that the afore mentioned people can wear their shirts the first days of school and every Friday until walkathon occurs. Lead works with the VP of Technology, VP of communication, Sponsorship Logo Lead and WAT chair to obtain sizes and quantities for final order. This does include messaging to all families of Booksin students to obtain the correct shirt size for each student. Order includes the online sales, the sponsors free T-shirt and a free t-shirt for every current Booksin student. Lead is responsible for communicating with the vendor the designs for the front and the back of the shirt and ensuring the entire team stays on the deadlines. The Lead is responsible for receiving, folding, sorting all the shirts and bundling orders per student, per class and delivering to teachers' rooms during the week before walkathon. The lead will host a shirt swap table after school on Thursday prior to walkathon and at the walkathon for students to exchange t-shirt sizes. It is helpful if this person is comfortable with spreadsheets and pivot tables. All expenses are reimbursed.

T-Shirt Logo Design Signed Up: 1 / 1Design the main logo that captures the theme of the Walkathon and will go on the front of the t-shirts (along with other locations: Web site, posters, and more). This position starts once the walkathon theme is selected, usually June or July. Using the t-shirt color and WAT theme you will create the main logo. Graphic design experience and design software (i.e. Adobe Illustrator, etc.) is a huge plus. You will work with the WAT lead, the printer, the t-shirt ordering/distribution lead and adhere to the deadlines and timeline. The logo is to be finalized by July and may require revisions prior to the second t-shirt run. All logos should be full color and black and white in the following styles: Adobe Illustrator, jpg, pdf, gif. Maintain and archive the logos on the Google Drive.
