WATSA Committee

WATSA 2017 will take place on Friday, October 6, 2017. This is our biggest fundraiser of the year and a lot of fun!


We need apprentices to work with our experienced leads in a few areas. If you're not quite ready to take one of the jobs below, sign up as a general committee member to help out as needed.

Works with Committee Lead on all things WATSA.

WATSA Volunteer Coordinator (General) Signed Up: 3 / 3

Several weeks before the event, you will work with the other leads to identify volunteer needs and modify Konstella volunteer sign-ups (Amanda) Update WATSA Co-chairs to identify any critical needs (Amanda). WATSA day, Joceana and Stephie share the task of welcoming volunteers and direct them to their stations. After the event, help put on a volunteer thank you coffee.

Language Liaison (General) Signed Up: 1 / 1

Provide Spanish translation for all WATSA related documents. Assist with all other language needs. May require community engagement.

Publicity/Artwork (General) Signed Up: 1 / 2

Before the event (Sept) check condition of existing inspirational lap signs, make replacements if needed and provide these to Facilities Course Lead. (these currently covered in other jobs) Publicize event to the surrounding neighborhood by posting flyers. Morning of event starting 8am put up banners with help from parent volunteers.

Spiritwear (General) Signed Up: 4 / 4

Order WATSA T-shirts and other Spiritwear (Ingrid). Help sell T-shirts and Spiritwear at select times during the first weeks of school (person needed). One lead will also sell Spiritwear at the event (person needed).

Award Alley Co-Lead (Walkathon) Signed Up: 1 / 1

On the day of the event, the Award Alley Co-Leads manage the Award Alley tent where kids get their prizes for every 10 laps they walk. There are adult and middle school volunteers working in the station all day. The leads make sure they know what to do and have what they need, as well as distributing prizes themselves.

Award Parties Lead (Walkathon) Signed Up: 1 / 1

In November we hold 2 award parties for the kids: pizza party for top walkers, popcorn party for kids turning in $100 or more in pledges. The Award Party lead works with the WATSA Chair to organize and execute these parties. This entails recruiting volunteers to help with and provide food for the parties, gathering prizes, and managing the parties. Coordinates book coupon distribution with the book fair Chair. the bulk of the work is done after the WATSA event.

Bake Sale Lead (Walkathon) Signed Up: 1 / 2

Help organize, set-up, and manage the volunteers, finances, and bake sale items at the event. Need to decide where baked goods will go (teachers' lounge, likely) either the night before or the day of. Decide on prices for items, set up tables and display. Oversee volunteers, including those from Graham Middle School. Replenish food throughout the event.

Organize and price craft donations leading up to event, busiest 1-2 weeks before WATSA day. Set up Craft Corner on event day with help from parent volunteers. Manage sales. Direct Graham student volunteers. Take down at end of event. *Need 1 more co-lead*

On the day of the event lead set up and take down of booths, stations, walking course, signage and extension cords. (filled) Prior to the event help create a map of the event. (filled) NEED 1 volunteer to lead clean-up.

Make sure that the Fist Aid table is set up on the day of the walkathon. Ensure that First Aid materials are at the station (borrow emergency pack from teacher, or plan ahead and purchase a kit for WATSA use).

Food Vendor and Food Sales Co-Lead (Walkathon) Signed Up: 2 / 3

Coordinate food vendors and sales prior to and on the day of the event. Order Pizza. (FILLED) NEED 1 person from 4-7pm to direct parent volunteers (sales) and Graham students (order fulfillment) at Cub Cafe. Order other food and drinks for Cub Cafe. Work with the WATSA Treasurer to manage cash boxes at the food stations.

Graham Student Coordinator Co-Lead (Walkathon) Signed Up: 3 / 3

Organize and supervise the middle-school students that volunteer at WATSA. Before the event, coordinate Graham students stuffing goody bags for the walkers and folding Silent Auction brochures. Record and report block G-points.

Graphic Arts (Walkathon) Signed Up: 1 / 1

Take student artwork and design Bubb T-shirt (mid to late May). Prepare graphic arts from lead sponsors for goody bags(July & August). Prepare artwork for catalog and directory. Prepare other graphic arts as needed. Provide all artwork to print vendors.

Lap Marking Lead (Walkathon) Signed Up: 1 / 1

Coordinate the parents and teachers who are marking lap cards and keep track of lap marking pens.

Lap Counter Tech Signed Up: 0 / 1

This job begins two weeks prior to the Walkathon and three days after the Walkathon is completed. The job includes: collecting the data of all laps walked and other relevant student/class info. Generating the list of top walkers to be posted the following Monday morning. The lap counts are generated by a program using apache server and mysql. Paul Hammer who created the program will provide instructions and assistance. Here is a brief set of instructions: Install and run apache web server (with mysql) on a system (the server) Load the lap counter .php files into the apache directory structure Load the lap counter DB definition into mysql Get an online copy of student & teacher class assignments from the front office (Christina) in an .xls or .csv format Format the class assignment data into mysql INSERT statements Load the INSERT statements into the DB Hook up the physical network between the server and the 2 client machines Turn off wireless on all the machines

Be on the WATSA team most beloved by students. Before the event, gather and package prizes from classrooms, choose and purchase lollipops. On the day of the event, manage the booth.

MC & Music (Walkathon) - NEED Shadow Signed Up: 1 / 2

MC during the event (includes making periodic announcements, helping parents find lost children, etc.). Make music selections to play during event. Help with setup and take down of all audio equipment. Need shadow for 2017 to work with Boris Burtin.

Record event the day of with lots of pictures of participants.

Pledge Co-Counter (Walkathon) Signed Up: 2 / 2

This entails working with another parent once a week to count pledge money and prepare bank deposits. This begins after the WATSA and continues through Thanksgiving, with a few straggling pledges after that.

Registration Lead (Walkathon) - NEED Shadow Signed Up: 1 / 2

Prior to the event distribute blank registration forms to all classrooms. Receive completed registration forms from classrooms. NEED 1 person to help Monica manage the Registration Booth during the event. Register siblings and late registrants. Record walkers laps as they check out. Distribute goody bags. Prepare list of top walkers to announce at an upcoming assembly.

Replenishment Co-Lead (Walkathon) Signed Up: 3 / 4

We have 2 water and orange stations along the walking route. Replenishment Co-Leads manage an orange cutting party the morning of the event. Then they make sure those two stations have enough water and oranges throughout the event. The Replenishment volunteers may need to do some heavy lifting. Also need to supervise Graham student volunteers. *Need 2 co-leads to work from 4:00-7:00. The earlier shifts are already filled and they will provide the necessary training before WATSA day.*

Identify potential donors and solicit donations. Log all communications and give donations for Data Leads. Requires detailed documentation and attention to detail.

Solicitations Assistants (Silent Auction) Signed Up: 11 / 14

Help the solicitations coordinator contact businesses. Some of the work can be done at home via phone and US Mail in the late Spring and Summer. The team also needs help contacting businesses in person and by phone, especially in late summer and early fall.

Sponsor Hospitality Lead (Silent Auction) Signed Up: 1 / 1

This person works with the WATSA Chair to coordinate a space for all the businesses who will have a table at the event. The Lead greets them when they arrive, shows them to their space and makes sure they have what they need. Then he/she checks in with them during the event to make sure all is well. This year the businesses are generally limited to school-related activity offerings or child-welfare offerings, so their needs should be relatively minimal.

Oversee the auction setup and bidder sheets, and coordinate the item procurement at checkout.

Manage auction parties: help donors to pick dates for their parties, prepare auction party posters before event, set up auction party display day of event, monitor party sign-up sheets during event and remove them for data entry once full, help take down display at end of event.

Revenue from parties is a significant portion of WATSA revenue. Keep track of auction party details and generate and hang posters a week or two before the event.

Prepare paper "fruit" marked with donation requests to hang on the Giving Tree leading up to the event. Add more fruit as necessary.

Organize the Wine Cellar - Receive and collect all donated wine from Bubb parents. Create a listing of the wines that have been donated. Oversee volunteers who will man the wine raffle sign up. Label numbers for the wines - at check out people can pick up their particular wine.

Manage all updates and additions to the website as they relate to WATSA.

WATSA Treasurer Signed Up: 1 / 1

One week before event get cash to "seed" each station (check with leads to determine how much seed cash is needed, and in which denominations). Day of event, ensure that each station has either a cash box, or cash belt, with seed cash. Day of event, manage cash needs for all stations (gather excess cash, provide additional denominations when needed.) Keep track of receipts by station. At end of event, gather all cash boxes and belts, then join 2 co-counters to count all receipts and prepare deposits. On-Site: 8 hours/week

Proceed counter helps the PTA treasurer and one of the WATSA co-chairs count proceeds from the event (after the event).
