Carnival Coordination

Ferris PAC has hosted a Spring Carnival at the end of May for the past four years. Carnival includes food, games, face painting, prizes, balloon art, and is capped off by a fundraising raffle with a variety of prizes donated by business throughout the community.  We need at least 7 active Co-ordinators to come together in planning in order to make Carnival a success without burning anyone out. Without coordination, this event will not happen. Many hands make light work! Please see job descriptions below for more details.

Committee Chair Signed Up: 0 / 1

Set and lead meetings of the Carnival Committee. Co-ordinate communication between people and follow up with leads on assigned tasks. Work with volunteer co-ordinator to make sure that everyone has the support they need to get the jobs done.

Volunteer Co-ordinator Signed Up: 0 / 2

Speaking English and Mandarin is very helpful for the volunteer co-ordinator--not required. Attend scheduled committee meetings. Keep track of how many volunteers each section will need on May 30th--Carnival Day and work to help identify and assign volunteers to sections. Sections will include: food, games, raffle, ticket sales. Food and Games will need a set-up crew and a clean-up crew. Make sure each volunteer knows who to report to and that each Section Lead has a contact list of the volunteers assigned to them. Be on-site May 30th 2pm-5:30pm to meet volunteers and direct them to their section Lead, answer questions and facilitate communication. We often have a good response to a volunteer notice--it is essential that volunteers have a person to talk to who knows where they need to go.

Food Co-ordinator Signed Up: 1 / 2

Attend Committee meetings. Plan a food menu and prices based on previous years--records and experience will be shared at first committee meeting. Decide on number of vounteers needed for set-up, serving, and clean-up. Attend Carnival on May 30th 1:30-5:30pm or assign and prepare a lead volunteer for that day.

Locate and choose games to rent from Houle Games and other schools--we have some contacts from last year. You can choose to create our own games, some parents may be quite skilled. Decide how to award prizes. Co-ordinate purchase of prizes. Stay within budget to be set at March PAC meeting. Attend scheduled committee meetings. Report to Carnival Chair. Decide on number of vounteers needed for set-up, running, and clean-up, communicate with volunteer co-ordinator. Attend Carnival on May 30th 1:30-5:30pm or assign and prepare a lead volunteer for that day.

Raffle Signed Up: 1 / 2

Solicit raffle prizes from organizations and businesses. Submit raffle license in April. Have tickets printed and notices sent out. Organize collection of raffle money and keep track of all tickets sold and unsold. Organize volunteers to help collect and track raffle sales.

Incidentals Signed Up: 1 / 1

Co-ordinate extra fun things--such as face painting (we already have one volunteer), balloon artist, decorations, First Aid, RCMP officer prescence, etc. Help plan the little things that add the cap to the event.

Game Ticket Sales Signed Up: 1 / 1

Organize sale of game and food coupons on the day of the Carnaval--May 30th. Oversee four volunteers for 1st shift (2pm-4pm) and one for second shift/clean-up (4pm-5:30pm). We sell ticket coupons for $1/ticket or $10/11 tickets which are used for games and food. Tickets will be offered for pre-sale on Munch a Lunch but we sell many tickets on-site during the Carnaval. Right after school is the busiest time.

Create fliers, posters, and notices to help spread the word about our Raffle and the Carnaval Day. Get creative, work on your own time, help spread the word! Attend scheduled committee meetings.
