Annual Giving Drive 25-26

The HIPS Annual Giving Dive campaign is our largest fundraiser of the year. It will kick off on Tuesday, August 19th and run through September 9th. It is designed to raise funds to keep all the inspiring and unique programs we have at Hacienda.  

HIPS is completely run by parent volunteers, YOU are HIPS! And we need your support as a volunteer to keep all the amazing programs in our school. Sign-up to be a part of this vital committee. 

 PLEASE NOTE: Due to a very limited planning window between the first day of school and Back to School Night this committee will plan and prepare some things over the summer. Some of the positions listed below may change based on committee goals.

Committee Leads Signed Up: 2 / 2

Defines objectives, assigns volunteers to activites and coordinates with the HIPS Board on goals and implementation.

Brochure Design Signed Up: 1 / 2

Update design of brochure to send to families to explain the Annual Giving Drive, reward tiers and goals.

Promo Videos Creators Signed Up: 2 / 2

Help us create and edit the AGD promo videos. We'll create the first video over the summer so it's ready to go on Back to School Night.

Donor Management Signed Up: 1 / 1

Import donations via Konstella into Excel and maintain a master donation spreadsheet. Manually enter check donations into Konstella. This person will work with Treasurer.

Company Matching Signed Up: 1 / 1

Manually enter emailed copies of donation matching into the master spreadsheet. Treasurer to use Benevity and other donation portals to ensure all matching is recorded in the master spreadsheet.

Communication Signed Up: 1 / 2

Coordinate messaging and drive updates for FB, Konstella postings, and teacher communications. (weekly during drive)

Create/update thermometer poster for front of school, create and hang signage around campus to promote AGD.

Help coordinate a challenge for Mr. Weber when we meet our overall goal.

Help design our AGD reward (past rewards have been stickers, hoodies, cinch bags, shirts)

-Update reward letters, order stickers/logowear if needed and organize printouts of coupons. Lead envelope stuffing team. -Organize reward envelope pickup days or classroom distribution.

Stuff envelopes w/ appropriate rewards based on donation levels.

Organize & set-up rewards for classes that meet participation level. (popsicle & pizza parties in years past).

Contact Science Staff/Weber for approval of dates & key. Figure out how many families can be in ODC for each session. Recruit hosts for each party and set-up Konstella signups for qualifying families.

Purchase meat and host families in outdoor classroom for crayfish party on selected day (possible dates in late Fall or Spring)

Contact families to RSVP for reserved seating at any school performance or event- Konstella groups & sign-up sheets. Maintain list of RSVP and redemptions.

Principal's Dinner/Event Signed Up: 1 / 1

Plan the Principal's Dinner/Event for Hawk Star recipients. Work with treasurer regarding budget.
