8th Annual International Festival Committee (2018-2019)

This committee will work with the school staff to plan & execute the annual International Festival including Decorations, Publicity, Vendors, Raffles and Country Booths

Cultural Booth Coordinator Signed Up: 0 / 1

The Cultural Booth Coordinator will update the previous year's collateral with current dates and work with the Communications Coordinator with updated information. The volunteer will confirm the cultural presenters and provide them with the festival's general guidelines, set up information for their booth (work with Facilities Coordinator), a map of where to set up and assist them the day of the event. Will make sure to have photo release signed (for potential photos taken by journalists and use on social media), will keep a student roster of participation for the History Department & log of service hours if required. May present to the history classes to promote the need for booth and event volunteers (timing to be approved by history dept).

Restaurant Coordinator Signed Up: 0 / 2

This volunteer will find a minimum of 4 and up to 6 different ethnic restaurants to sell food at the Festival. Update previous year's collateral and work with Communications Coordinator to get restaurant information added to flyers. Send out and collect the following 2 weeks prior to the event: fee, contract, signed liability insurance document, gift certificate for raffle baskets and event instructions. Go over the event guidelines (show the school grounds, explain food requirements) find out their general needs, provide them with a map of where to set up. Work with Facilities Coordinator to determine location of restaurants. Greet food vendors the day of the event, show them their spot & make sure they’re set up prior to the event. Post event, they will be responsible for writing thank you notes.

Donation Teams Signed Up: 0 / 6

The Donation Team will ask local businesses and parents for donations to make 8 to 10 silent auction baskets and at least 25 opportunity drawing baskets. They will manage the silent auction area during the event and pull sheets at the allotted time. They will sell opportunity drawing tickets before and during the event. They can ask for volunteers to run the drawing. They will also send thank you notes to businesses/people that donated. The Performers Coordinator(s) will secure 6-8 cultural acts to perform during the festival. Will coordinate fees for performers per allotted budget, obtain photo release forms and set timeline of performers. Coordinate with sound engineer to play performers' music. Update previous year's collateral and schedule; work with the MC/stage manager to facilitate music provided by performers. Provide VIP Parking Passes to performers. These volunteers will take pictures and/or video the night of the event; provide them to the school's webmaster, event coordinator, Yearbook Teacher, STPO social media coordinator, and public relations coordinator after the event to get them published.

PR Coordinator Signed Up: 0 / 2

The PR Coordinator(s) will meet with the Event Coordinator(s) to create articles to be published in local newspapers and city boards, etc. They will post information on the local high schools Daily Bulletin for school service hours. The volunteers will also post/handout flyers at events and deliver them to the local 6th grade feeder schools. The PR Coordinator will revise/update the press release, and after school approval, use it to invite local reporters and city officials to the event. They will also share the event among local social media sites/groups and liaison with the STPO social media coordinator to post information about the International Festival to La Paz Intermediate's social sites.

May also reach out to La Paz ASB and Web Leader faculty advisers, MVHS, THHS and LHHS, and MUN advisors for student volunteers. Will manage volunteers for the entrance tables to collect entry fees.

The Games & Crafts Coordinator(s) will arrange for 4 to 6 games and crafts, provide any materials necessary, and instruct volunteers how to run the game, and be present at the event to assist. Can enlist the participation of Web Leaders (Mrs. Po) and ASB (Mrs. Baird) students to lead a game or craft. Will also contact the Volunteer Coordinator to make arrangements for High School students to volunteer the day of the event. Will make sure to have press release signed (for photos), will keep a student roster & sign forms for service hours (provided by students).

The Decoration Coordinator(s) will coordinate the decorating of the school. Will work closely with the Art Teacher for students to create decorations during Art Mondays.
