Hello fellow La Scuola parents,

 

La Dolce Vita is coming up on March 28th. Knowing how busy you all are, we thought we’d give you plenty of time to figure out a way to volunteer. This is a huge event that takes a lot of people’s help to guarantee its success. There are many ways to give your time, and most tasks can be split between a few people. YOU DON’T HAVE TO ATTEND THE GALA TO VOLUNTEER, in fact, this is a great opportunity for those who aren’t planning on attending to come and support our school. I have provided details, and in most cases, time expectations for each position (some jobs will not take as long as we’ve allotted).  As we all know, every family is expected to give 40 volunteer hours for the school year- this is a great chance to fulfill your hours. You and your spouse can even volunteer together and make it even more fun! Below are all of the jobs that we could think of, running through clean up the night of the event – it is pretty comprehensive, so take a good long look, I’m sure you can find something you are able to do!

Soliciting Sponsors : Pre-Event Signed Up: 2 / 2

Contacting businesses to donate auction items and act as sponsors of the event - or reacquainting with businesses who have donated in the past to secure donations. This role is one you can do on your own time for 1-2 hours per week and would be finished (barring a few exceptions) by Mar 13th. You will receive templates and sponsor materials from the LDV committee.

Pickups/Deliveries of Auction Items : Pre-Event Signed Up: 2 / 2

Looking for someone who can drive to various Bay Area locations to pick up gala/auction items. Needs a car and daytime availability. Various days and times to be determined prior to event day.

Centerpieces Creation : 3/27 Signed Up: 7 / 7

Help create floral centerpieces for all dinner tables the night before the gala (Friday 3/27) at the Mission Campus. Wine and food will be provided.

Loading Auction Items/Wine/Music equipment, etc. at Mission Campus : 3/27 or 28 Signed Up: 4 / 4

Load items from storage into truck at Mission Campus. Must be able to lift 30 lbs+ (Hours: Friday 3/27, 6-7:30pm or Sat morning)

Unloading Auction Items, etc. at Westfield : 3/27 or 28 Signed Up: 4 / 4

Bring auction items, wine, music equipment, etc. from trucks on loading dock into venue. Must be able to lift 30 lbs+ (Hours: Friday 3/27, 7:30-8:30pm or Sat morning)

Order and Deliver Volunteer Food : Day of Event Signed Up: 1 / 1

Order and deliver food and drinks to Westfield for day-of-event volunteers. Order ahead of time, and deliver on 3/28. May require a run to Costco as well. (Hours: order/Costco on your own time, delivery on 3/28 at 10am)

Set Up: Day of Event Signed Up: 9 / 12

Set up at Westfield the day of the event; open to helping with any of the following things: display of Student Photos, Auction items, Student Projects, Count-me-ins, Giving Trees, Bid Paddles, Programs, Centerpieces, and Mystery Boxes at venue. (Hours: Saturday 3/28 10am-2pm)

Staff the Silent Auction, Art Projects, Giving Trees and Count-Me-Ins : at Event Signed Up: 4 / 4

Staff Silent Auction, Art Projects, Giving Trees and Count-Me-In areas in Dome during the cocktail hour, answering any questions guests have. Then, you’ll help transition items for checkout. (Hours: Saturday 3/28, 5:30pm-8:00pm)

Reception Registration : at Event Signed Up: 9 / 9

Greet and check in guests at Gala, let them know what table they’re assigned to and where everything is. (Hours: Saturday 3/28, 4:45pm-7:45pm)

Coat Check: early shift : at Event Signed Up: 1 / 1

Work the coat check room for the early shift of the event. (Hours: Saturday 3/28, 5:15pm-8:45pm)

Photographer for Reception and Dinner : at Event Signed Up: 1 / 1

Are you a photographer or know someone who is? We are looking for someone to document the gala with candid photos throughout the night. Will likely need an assistant to deal with lighting. (Hours: Saturday 3/28, 5:00-9:30)

Help with the Kids Music Ensemble : at Event Signed Up: 1 / 1

Meet 6th, 7th and 8th grade students in music ensemble at venue, help with attaching boutonnieres, direct them to the main room for performance(Hours: Saturday 3/28, 5:30pm-8:30pm)

Seating : at Event Signed Up: 2 / 2

Usher guests from the reception to the dining room, or helping them find their seats in the dining room using the seating map. (Hours: Saturday 3/28, 6:45pm-8pm)

Live Auction Spotters : at Event Signed Up: 1 / 10

Stand up and call out bids as they come in during the live auction. This is the perfect job for the loudest and most lively attendee at each table. (Hours: Saturday 3/28 7:15-9:30)

Silent Auction Wrap Up : Pre-Event Signed Up: 1 / 1

Tie up any loose ends with donated items. This includes confirming the item (if applicable was dropped off to La Scuola and noted so in spreadsheet. Each item needs a description and photo, you would confirm that they have all been completed and photos are accessible to be uploaded to our bidding platform.

Count-Me-In Coordinator Signed Up: 1 / 1

Act as liaison between those hosting and participating in Count-Me-Ins. Gather all of the pertinent details about the events prior to auction, ensure that all hosts have contact info for guests, and remind hosts to keep in contact with/send invite to guests leading up to event.

Centerpiece Shuttle : 3/28 Signed Up: 2 / 2

Day of shuttle to bring centerpieces from the Mission campus to the venue. Large car needed.

Graphic Designer for Auction Descriptors : Pre-Event Signed Up: 1 / 1

Create a template for description cards for the silent auction. Descriptions sent to you by a writer. Must be flexible in March - will need you to continue to create more cards as auction items come in.

Online Auction Help : Pre-Event Signed Up: 2 / 2

Looking for 4 people who can stuff student photos in frames and label them with name and class. This can be done at home before the event. Must transport photos and frames to and from home and school. (Hours: This is on your own time, completed by 3/13.)

Giving Tree : Pre-Event Signed Up: 2 / 2

Collect wish lists from teachers, create tags for giving trees with teachers wishes on them. Coordinate with online team to post giving tree asks online.

Raffle Coordinator : Pre-Event Signed Up: 1 / 1

As Raffle Coordinator, you will plan the grand prize vacation alongside Shannon Cleary (Director of Advancement), stuff envelopes with tickets and info sheets and mail them out, answer any questions via email about the raffle, log results of ticket sales (person who sells the most gets a prize, and contact the winner after the event and give them their gift certificate if they didn't receive it at the event. (Hours: approximately 10 hours prior to event)
