Welcome, Committee Chairs!

Thank you for volunteering to serve as a Committee Chair this year!
We appreciate your time and talent!

Committee Chair Checklists:  As you plan/coordinate things, please jot down your notes/info (especially if they're time sensitive, i.e. something needs to be ordered two months ahead of time, or in the summer, etc). Feel free to jot down as much as you go along in your committee (contacts, info, places, time spans, etc). A sample checklist can be under the "Files & Links" Section. Please email the completed form to orspto1@gmail.com at the end of the event or by June, so we can upload/save to ORSPTO Drive.

Cash Box Request: Submit Cash Box request to treasurer at least two weeks in advance. PDF files for a Cash Box Request and a Cash Box Receipt for Deposit can be found under the "Files & Links" section on Konstella.

Facilities Request:  Please email orspto1@gmail.com to request a facilities request, at least 2 weeks prior to the event. 

Logo Files: ORSPTO logo files can be found under the "Files & Links" section on Konstella. When applying logo, please make sure you're using the correct format and style. There is the general ORSPTO logo, Sponsored by ORSPTO logo, and ORSPTO Thank You for Support logo.

Marketing/Communications: Coordinate promotion/flyer with ORSPTO Correspondence Secretary (past flyers in committee’s shared Google Drive folder). Once flyer is completed, submit to ORSPTO Board for approval. Once board approves, coordinate with school office staff immediately regarding distribution (they duplicate and distribute all flyers for the ORSPTO).

Raffle License: Apply for gaming license at least a month in advance of event, one per raffle (e.g. 50/50 and gift auction). Fees (total determined after event but need $20 per application when submitting—NJ State requires one per raffle and Point Pleasant Boro requires one per raffle = $40).  Please email orspto1@gmail.com to request a raffle license as soon as possible. 

Reimbursement Request: Coordinate purchases (ORSPTO Costco, Visa or get reimbursed). Reimbursement Request Form can be found under the "Files & Links" section on Konstella.

Solicitation/Sponsorship: Word templates for an event/fundraiser solicitation letter and sponsorship thank you letter that you can customize for an event/fundraiser can be found under the "Files & Links" section on Konstella. A list of sponsors who have donated to our organization in previous years can also be found under the "Files & Links" section on Konstella..

Stationery: Word templates for our PTO letterhead to use for both school and business purposes can be found under the "Files & Links" section on Konstella. There are also templates for labels and thank you notes.

Tax Exempt File: The tax exempt file for our PTO to use for event/fundraising purchases can be found under the "Files & Links" section on Konstella.

Thank You Letters: Please email orspto1@gmail.com to coordinate sending thank you letters to businesses that donated to the event/fundraiser.
