  • Primary responsibilities of board members are to:
  • Support communication between the PTA, school leadership and the broader PS 20 community
  • Support advocacy on behalf of the PS 20 community
  • Plan and run activities for parents and families
  • Support the PTA’s fundraising efforts

Some FAQ’s and an overview of all board positions are below. This year we are specifically looking to fill the following roles:

Recording Secretary: Records minutes at all association meetings. Prepare notices, agendas, sign-in sheets and materials for distribution. Prepares and reads the minutes of each association meeting and shall distribute copies of the minutes at the next scheduled meeting for review and approval by the general membership. Maintains custody of the association’s records on school premises. Incorporates all amendments into the bylaws and shall ensure that signed copies of the bylaws with the latest amendments are on file in the principal’s office. Responsible for reviewing, maintaining and responding to all correspondence addressed to the association.

Parent Outreach Coordinator: Serves to provide resources for connecting new parents and families to the PS 20 community. Outreach through translating information verbally and written devising and initiating events, PTA workshops, and volunteer opportunities. To assist in building relationships and creating avenues for parents to feel informed, connected and be uniquely involved in the life of the PTA and its advancement.

📣 Join the SLT!

The School Leadership Team (SLT) consists of PS 20 family members (parents, grandparents, guardians), staff members and Admins. Members are elected for two year positions by their peer group (i.e. parent members are elected by the parent body, during a PTA meeting), and then meet monthly to read, review, and discuss the school’s Comprehensive Education Plan (CEP). The CEP is a set of goals individualized for our school based on data collected by the DOE, such as attendance, test scores, etc. The CEP is a living document, meaning it grows and changes throughout the year with the DOE and SLT’s input. When we look at the goals, we work collaboratively to find the best possible ways to meet the goals with our unique community in mind.

Board Roles + FAQ’s:

How long is the Executive Board term? Positions usually hold a one year term from July 1st to June 30th.
When does the Board meet? Bi-weekly on Fridays, from 9am-10:30am, at a minimum. We understand that this time may be difficult to make for some working parents or caregivers, or those with additional child care responsibilities. Please don’t be dissuaded! The board can remain flexible, and we can discuss optimal ways of meeting and planning as a group for the 2022-23 school year.

What positions are open? All positions are open to eligible candidates, though some current officers will likely be running to renew their terms. At this point, we are actively recruiting for the positions of Financial Secretary and Correspondence Secretary positions.

Summary of Positions:

President/Co-Presidents: Presides at all meetings of the association and shall be an ex-officio member of all committees except the nominating committee. Appoint chairpersons of non-standing association committees with the approval of the executive board. Delegates responsibilities to other association members and shall encourage meaningful participation in all parent and school activities. Attends all regular meetings of the presidents’ council and shall be a mandatory member of the School Leadership Team (SLT). Meets regularly with the executive board members in accordance with the bylaws to plan the agendas for the general membership meetings. The President/Co-Presidents shall be one of the eligible signatories on checks. Candidates for Co-president must run on a slate together.

Vice President: Assists the President/Co-Presidents and shall assume his/her or their duties in absence or at his/her or their request. The Vice-President shall be one of the signatories on all checks.

Recording Secretary: Records minutes at all association meetings. Prepare notices, agendas, sign-in sheets and materials for distribution. Maintains custody of the association’s records on school premises. Responsible for reviewing, maintaining and responding to all correspondence addressed to the association.

Correspondence Secretary: Assists PTA President/Co-Presidents throughout the year in writing correspondence such as thank-you notes, flyers etc. Good for a working parent, (not very time consuming). Will also be on standby if the Recording Secretary is not available for meetings.

Treasurer: Responsible for all financial affairs and funds of the association. Responsible for maintaining an updated record of all income and expenditures on school premises and shall be one of the signatories on checks. Adhere to and implement all financial procedures established by the association. Prepares and presents a written report of all transactions at every executive board and general membership meeting. This report must include income, refunds, reimbursements and other expenditures, and opening and closing balances for the reporting period. Prepares the association’s interim and annual financial reports. Makes available all books and financial records for viewing by members upon request and for audit.
Financial Secretary: Receive all monies collected by the PTA. Some responsibilities of the office are specified in the unit bylaws; others are established by Council, District 13 and New York State PTA procedures. The Financial Secretary may be a member of the Fundraising Committee. This role is to support the Treasurer.
Parent Outreach Correspondent: Serves to provide resources for connecting new parents and families to the PS 20 community. Outreach through translating information verbally and written devising and initiating events, PTA workshops, and volunteer opportunities. To assist in building relationships and creating avenues for parents to feel informed, connected and be uniquely involved in the life of the PTA and its advancement.
Parliamentarian: The Parliamentarian is an expert in parliamentary procedure who, upon request, speaks to the assembly to provide explanations or advice, but not rulings, which are always made by the presiding officer. Provides members and the executive board with training on simple Parliamentary procedures (how to state a motion rules of debate, quorums, etc.); maintain a copy of the constitution and bylaws at every general and executive CCAE meeting; sit in close proximity to the presiding officer during meetings; make sure that meetings adhere to the agenda; assist with the coordination of motions and resolutions; keep track of the order of those wishing to speak, motions, amendments, voting, etc.; assist with the election and voting procedures; support the president in maintaining order and adhering to time schedules.
