Auction Committee

This is a key annual fundraiser for RHS PTA! Lots of hands are needed on deck to pull off successful auction offerings to the community, and a wonderful evening for the parents, caregivers, and staff. 

 

Some of the critical initiatives this will fund include: Group Specialists that help in the classrooms, Art and Garden programs, H.U.G.S. (Helping Us Grow Stronger) to support social and emotional wellness, Replacing and updating the Chromebooks and other technology in classrooms, and much, much more!

Committee Chair Signed Up: 1 / 2

Run the entire show - Coordinate with all leads, vendors, venue. Manage volunteers. Manage all logistics of the event. Main contact for any inquiries, questions, issues.

Lead fundraising efforts of Auction. Manage donations solicitations and volunteers for Online Auction (community asks, parent/teacher asks). Coordinate collections, data entry, and financial transactions for Online Auction.

Parties Coordinator Chair Signed Up: 2 / 2

Coordinate and gather donations of parties, events, socials. Liaison for questions, requests, issues for the parties. Advertise parties and create sign ups & payments.

Food & Drinks Lead Signed Up: 2 / 2

Lead for meal catering, serving, drinks, and desserts. Coordinate with food and drink vendors, and dessert donations. Table Linens, serving ware, utensils. Budget for all items.

Volunteer Recruiter Signed Up: 0 / 1

Recruit and manage volunteers. Assist Auction Committee Chair before, during, and after the event. Assist Donations Solicitations & Parties Coordinators to find volunteers.

Create graphics, invitations, and design based on the event theme. Distribute to all RHS and local community. Create copy for newsletter memos and announcements. Update RHS website. Make announcements for Chair to distribute on Konstella.

Raffle Lead Signed Up: 2 / 2

Coordinate printing, sales, and distribution of Raffle tickets. Select and order prizes. Collect & calculate funds raised.

Decor, Set-up, Clean-up Lead Signed Up: 1 / 2

Design and coordinate Event Decor, look and feel of the event. Use existing supplies or resourcefully find alternate decor. Work with Graphics and Food Leads to finalize designs and table set ups. Assist Committee Chair with event production. Responsible for set up and clean up of event.

Coordinate wine donations, drop offs, deliveries. Set-up & sales/distribution at the event.

Catalogue Lead Signed Up: 0 / 1

Create full catalogue for all donated items and parties. Print and distribute. Coordinate with auction attendee/ticket numbers. Coordinate with other leads.
