Walkathon Leads

The West Valley Walk-A-Thon & Auction is not only our primary fundraising event, but also a festival where kids have fun and parents get to know each other.

This is the time to show our West Valley spirit! Plan to spend the entire day walking around the field, volunteering, bidding on silent auction items, eating delicious foods, and enjoying the carnival atmosphere.

WAT Chairperson Signed Up: 5 / 5

Organize the Walkathon event. Verify all committees have leaders to run them. Administrative tasks to make the event a success. 

Create handouts, emails, newsletter blasts and other WAT promotions. Some work in the spring for recruiting purposes and t-shirt contest. Weekly communication from school start until WAT day. Handouts can be mostly prepped prior to school start. Work with the Webmaster to update content on the WAT website.

Recruit leaders for the many WAT committees and provide all necessary communication prior to WAT day. Time commitment begins with spring recruiting until all committee leaders positions are filled. Communication to leaders from school start until WAT day. Coordinate leader meeting in September. Most work done via email.

Bake Sale Lead Signed Up: 1 / 2

Organize the baked goods that we enjoy purchasing during the event. Set up 2-3 hours on Friday before WAT and then 1 hour before WAT starts. Monitor the volunteers during WAT and coordinate clean up of the baked goods at the end of the day.

Organize carnival games. Develop 1-2 new games, identify and obtain giveaways and define required staffing needed during WAT.

Check In / Check Out Lead Signed Up: 3 / 3

This committee organizes the crew to staff the check in/check out tables Walk-A-Thon Day. Minimal preparation in advance involving printing classroom lists and guest lap cards, and purchasing small giveaways for students.

Class Flags Signed Up: 2 / 2

This job involves working with the head room parent prior to school starting to recruit at least one volunteer from each classroom to create the classroom flag. Continue soliciting for volunteers during the first weeks of school until each classroom has a flag maker. Verify the volunteers complete the flags prior to the Kinder assembly. Attach lap cards to the flags the day before WAT. Work with school secretaries to have the flags hung in the GLC after WAT day. Almost all work can be done off campus via email communication. 1 hour on Friday before WAT to verify all flags are present and attach lap cards.

Clean Up Lead Signed Up: 1 / 2

Heads up the crew to clean up after the event. Clean up occurs immediately after WAT and requires an hour or so.

Counters Lead Signed Up: 2 / 2

This committee coordinates the counting of the pledges on the last day they are turned in (typically a Thursday or Friday in late October). This job requires a few hours prep time (assembling supplies and phoning volunteers) and most of the day of the counting.

Course Co-Leads Signed Up: 2 / 2

This committee sets up the Walk-A-Thon course around the track the Friday before Walkathon and takes down/puts away course markers Saturday after the WAT. Time commitment is ~3-4 hours.

Face Painting Lead Signed Up: 1 / 1

This committee verifies that there are enough supplies and purchase more as needed prior to WAT day. Coordinate volunteers the day of WAT.

Food - Breakfast Lead Signed Up: 2 / 2

Organize the  breakfast food offerings at Walkathon.

Coordinate the lunch offerings at Walkathon.

Assists WAT Charis wtih development of flyers, and sponsor ads and banners (as needed).

Music/MC Lead Signed Up: 2 / 2

Compile child-appropriate music to be played at WAT. Work with the sound system committee leader to have music and announcers ready to play music and have announcements throughout WAT day. Time commitment would be dependent on collection of music. Play music all day at WAT.

Punchers Lead Signed Up: 2 / 2

The lead coordinates the schedule of hourly volunteers and organizes the flow of “traffic” through the “gates”. Verify students follow the rules. Time commitment is day of WAT.

Refreshments (Concessions & Drinks) Signed Up: 2 / 2

This committee organizes the drinks for concessions sales and purchases the snack supplies, sets up the booth, and staffs the concessions tables (excluding the drinks). This includes purchasing drinks for delivery the week of WAT, booth set-up, and organizes staff/volunteers for the drinks tables. Coordinate delivery of  drinks the day before WAT. Contracts signed for rental equipment during the summer. Purchase supplies. Set up starts early Saturday morning. Monitor the teen volunteers that work the refreshments station throughout WAT day.

Set Up Lead Signed Up: 2 / 3

Heads up the crew to set-up before the event. Set-up begins early WAT morning and involves placing tables, chairs, signs and pop-up tents where designated on the set up map.

Solicitation - Raffle Signed Up: 2 / 2

This year money will be requested from parents for buying high end raffle gifts.  Lead will purchase and preparing raffle items / baskets prior to WAT day. Monitor volunteers at raffle table throughout WAT. Announce raffle winners at end of WAT. Distribute prizes to winners after WAT.

Solicitation - Auction and Sponsorship Co-Leads Signed Up: 5 / 5

The auction and sponsorship committee solicits and manages donations for the auction and raffle. The job involves submitting online requests and creating mail merge letters from the existing database, stuffing envelopes, mailing, and then following up on requests. Solicitation requests start in the spring and continue through the summer. All mailings need to be sent at least twelve weeks prior to WAT. On WAT day and following the auction, this committee also notifies winners and coordinates payment and auction item closing/delivery. Time commitment varies depending on number of volunteers. This committee is also responsible for soliciting Walkathon sponsors.

Sound System Lead Signed Up: 1 / 2

This committee provides, sets-up and takes down the sound equipment needed to support WAT. You will be working with the MC's and the Music committees. Detailed instructions on the equipment to rent, where to rent and how to set up the equipment provided. Time commitment is 1-2 hours on Friday afternoon before WAT, early Saturday morning to set up and then after WAT to clean up and return the equipment.

Water Misters Lead Signed Up: 1 / 2

Organize the enthusiastic volunteers who spritz water on walkers at WAT. Minimal prep work in advance requesting gallon size plastic bottles and verifying spray bottles are in working order. Time commitment is WAT day.

Teen Volunteer Coordinator Signed Up: 1 / 2

Solicit volunteer assistance from Cupertino Middle School and Homestead High School clubs. Monitor the Teen Volunteer table the day of WAT to verify club leaders have coordinated their volunteers. Sign volunteer hours certificates as needed.

The lead for this committee receives a comprehensive list of donors after the event and coordinates the students and teachers in writing the thank you notes. Thank you notes are coordinated in December.

Thank You Banner Lead Signed Up: 1 / 1

This committee makes the thank you banner that recognize our donors. The donors’ names are provided to you in a list that needs to be made into a large sign hung at WAT.

Treasurer Signed Up: 2 / 2

WAT treasurer collects money received from committees selling tickets, bake sale items and auction payments throughout WAT day. Tally income received by each committee and report dollar amounts to WAT chairs and parent org treasurer. Deposit money in the bank after WAT. Time commitment involves getting raffle tickets and seed money in advance of WAT, as well as all day WAT.

T-shirt Design Contest Signed Up: 1 / 2

This committee coordinates the t-shirt design contest.   Prepares schedule for announcement, design due date, student council down select and student votes. Activities planned for April.

This committee organizes the distribution of the t-shirts to teachers, students and families prior to and the day of WAT.

Water / Pretzel Station Lead Signed Up: 2 / 2

This committee organizes the crew that mans the water station to keep all those walkers hydrated. Some set up involved early WAT morning. Purchase pretzels in advance of WAT.

Webmaster Signed Up: 2 / 2

Update website content as requested by WAT chair and promotions leader. Primary time commitment in the spring and summer. All work can be completed at home. Some experience working with Google sites required.
