Auction Fundraiser Committee

The Auction and Dinner Fundraiser Event is on March 22, 2025 and we are looking for volunteers!

 

Help us raise more than $60,000 to supplement enrichment programs for Willow Glen Elementary students. The silent auction, live auction, ticket sales, raffle and Lucky Kid Lotto for this event raise enough to fund entire programs such as hands on science, computer literacy, art, music and community events. These essential programs need your help to succeed!

  

Join the committee on Konstella and help in any of the following:

Donation Team

  • Our team will collect donations for the 6 months leading  up to the fundraiser event, which is typically done independently with monthly coordination:
    • Request donations for products and services (online or in person)
    • Collect donated items
    • Prepare auction items
    • Distribute to winners 

Party Planning Team

  • Party planning and event management begins in January. The event team meets in person monthly, then several times in March to prep registration, decorations and auction items.

     

    The Event Team helps out the day of the Fundraiser Event to make it a party to remember! Volunteers are able to both enjoy the fun and assist in specific roles: 

    • Leading up to the event:
      • Decide theme 
      • Research entertainment and activities
      • Create unique logo for the year
      • Assist in creating marketing material and distributing
      • Procure decor and party favors 
      • Design and assemble registration packets
      • Imagine floor plan for event
    • Day of Event: 
      • Decorate
      • Post signage
      • Register guests
      • Assist with raffle and auction sales 
      • Record Live Auction bids
      • Set Up
      • Clean Up 
  • Parent Party Host Team
    • Coordinate with parents to get volunteers to host parties! 
      • Parent party tickets will be auctioned to raise funds
        • Parent party tickets are sold in the auction for a future date
        • Party theme, location and amenities to be determined by host
      • Assist with marketing material to generate interest
        • Tools and resources are available to all hosts
      • Coordinate schedules and themes with hosts
  • OR Donate goods or services

Donation Team Signed Up: 3 / 10

Provide assistance to request donations from people and businesses for products and services to donate for the silent and live auctions. This also includes donors for party hosts for progressive parties. Assist to collect donated items, assemble and store, prepare and photograph, write descriptions for auction sale, and transport to and from event location. Post auction distribution assistance also needed. This may be electronically or in person. Tools and coordination provided.

Party Planning Team Signed Up: 2 / 10

Participate in event activities up to and including the event day. Prepare decor, post signage, assemble registration packets, and assist guests on the day of the event. Includes Set Up and Clean Up teams. Expect no more than 2 hours per person during the event to allow for time to enjoy the party.

Parent Party Host Team Signed Up: 1 / 8

Coordinate parent parties with hosts including Progressive Party, Amazing Race and parent hosted small parties to auction. Create descriptions and collaborate with parents to get these parties rockin!

Teacher Art & Basket Coordinator Signed Up: 1 / 1

Coordinate teacher and parent communication and activities up to and including the event day. Communicate with room parents for classroom art, basket donations, and volunteer needs. Communicate with teachers to secure teacher tickets. Cultivate an inclusive and collaborative effort to make auction activities as seamless for teachers and parents as possible.

Marketing & Communications Coordinator Signed Up: 1 / 1

Coordinate marketing material and communications on event activities up to the event day. Prepare drafts of logos, flyers, and communications for social media and school distribution. Collaborate with Auction Chair for Board approval of media content. Collaborate with Auction Chair for update of webpage content. Collaborate on auction materials and photos for appropriate and consistent content.
